INDUSTRIES · ACCOUNTING AND BOOKKEEPING

AI for accounting and bookkeeping firms in the UAE, from the WhatsApp receipt to Zoho Books.

Your clients send receipts as photos, invoices as PDFs and bank statements whenever they remember. We build AI that reads every document, splits out the line items, maps each one to that client’s chart of accounts and posts it, with your accountants checking anything it isn’t sure about.

WHERE THE HOURS GO

Accounting firms spend most of the month typing.

The judgement your clients pay for happens at the end. Before that comes sorting, reading, categorising and chasing, for every client, every month.

TODAY

Client paperwork in every possible format

Photos on WhatsApp, PDFs by email, spreadsheets, scans of scans. Someone opens each one, works out what it is and starts typing.

TODAY

Every client has its own chart of accounts

The same fuel receipt goes to a different account for each client. Juniors learn every client’s rules by memory, and mistakes surface at review.

WHERE AI HELPS IN ACCOUNTING

Six places accounting firms start.

Bookkeeping intake is usually first because the hours are obvious. The rest follow once the data is clean.

Bookkeeping and document intake

Receipts, invoices, credit notes and statements read, split into line items, categorised and posted to the right client.

Bank reconciliation

Statement lines matched to ledger entries and invoices, with only the true exceptions left for an accountant.

VAT and corporate tax preparation

Figures pulled together per client for VAT and corporate tax returns, with any gaps listed before an accountant signs off.

E-invoicing readiness

Mandatory e-invoicing in the UAE starts in phases from January 2027. Clean, structured data from every document makes the switch far easier.

New client onboarding

Meeting notes, proposals, engagement letters and the handover to the accounts team drafted from the first call.

Client chasing and questions

Missing paperwork chased, and routine client questions answered from their own books, with anything tricky sent to their accountant.

HOW WE BUILD IT

The system we have designed for a Dubai accounting firm.

One firm, a long list of clients, and every client sends paperwork differently. Line-item categorisation is the hard part, so it gets a model of its own, trained on each client’s history rather than a generic list of accounts.

  1. 01

    Collect

Each client gets its own email address and set WhatsApp numbers, so every document lands against the right company.

  2. 02

    Classify

Ten document types recognised: receipts, invoices, bills, credit and debit notes, bank statements, proforma invoices, quotations and receipt vouchers.

  3. 03

    Extract

The document details and every line item: description, quantity, price, currency, SKU and part number.

  4. 04

    Categorise

Each line mapped to that client’s chart of accounts, learned from the entries your team already made in Zoho Books.

  5. 05

    Review

Anything under the confidence threshold goes to an accountant, with the document open beside it.

  6. 06

    Post

Written to the right client in Zoho Books, with a full record of what was read and why.

Tested on documents it has never seenThe proof of concept is measured on newer documents from the same clients, so the accuracy figures mean something before anything is connected.
Clients sorted before go-liveSome clients send a PDF of receipt photos plus a spreadsheet that has to be reconciled against it. We work out which clients the system takes on first.
Set up by your teamNew clients, document types and account categories are added in an admin screen with a few examples, without calling a developer.
FIRM-WIDE VIEW

Every client’s documents, processed before the team logs in.

Partners see how much came in, how much posted cleanly and what is waiting for review. Reviewers work a short queue with the suggestion already made.

QUESTIONS

AI in accounting: what firm partners ask us

Does it work with Zoho Books?

Yes. Zoho Books is where we usually start, and we also connect to Xero, QuickBooks and the main ERPs. Categories can be read straight from each client’s chart of accounts.

What happens when a document is unclear?

It isn’t guessed. Anything under the confidence threshold, poor scans included, goes to an accountant with the document beside it, and the system learns from the decision.

Can every client be set up differently?

That’s the point of it. Each client has its own document types, account categories and examples, set up by your team in an admin screen.

How much does it cost?

A single agent starts from AED 55,000 and the 90-Day AI Agent Enablement Programme from AED 110,000. Document processing at scale is usually scoped as a custom build, starting with a proof of concept on your own documents.

Is client financial data safe?

Data stays where your IT team wants it. We are model and cloud agnostic, each client’s data is kept separate, and every action is logged.
